What is a SEPA direct debit mandate?

A SEPA direct debit mandate is a one-time authorization that lets Staffify collect recurring charges directly from your bank account. Instead of asking you to pay each invoice manually, your bank account is debited automatically on the due date.

If you paid your first invoice with iDEAL or Bancontact, our payment provider converts that payment into a SEPA mandate so future charges can happen without any manual action from you.

How does the mandate get set up?

When you pay your first invoice with iDEAL or Bancontact, the payment page shows a short mandate text above the pay button. Completing the payment agrees to that mandate. Our payment provider then stores a reusable SEPA payment method tied to your IBAN for future automatic charges.

When does Staffify charge me?

Accepted Answer

Monthly renewal charges run on your billing anniversary. Overage charges run at the end of the cycle if you used more than your plan includes. If you cancel mid-cycle with overage, a final invoice is created at cycle end. SEPA settlement takes 2 to 5 business days.

What if the charge fails?

A SEPA debit takes a few working days to clear; while it is processing nothing changes and you get no reminders. Only when your bank reports a failed debit does the 14-day grace period start: failed charges are retried automatically (up to 8 attempts over two weeks), you get reminders and a pay link by email, and your agents are paused only if the invoice is still unpaid at the end. The same grace period applies to an unpaid separate overage invoice; paying it switches everything back on automatically. If your bank asks for mandate re-authorization, you receive a confirmation link via email.

What is the SEPA chargeback window?

Under European SEPA rules you can dispute an authorized direct debit for up to 8 weeks (and 13 months for unauthorized debits). If a chargeback is accepted, the funds are reversed and we create a new standalone invoice with a pay link so you can settle outside the direct debit flow.

Can I switch from SEPA to a credit card?

Yes. Reach out via chat on your dashboard or reply to any billing email and we send you a secure link to update your payment method. The next charge will use the new card.
