Email Agent Forwarding recipes

Forward mail from your existing inbox (like [email protected]) to the AI agent address on your Staffify subdomain ([email protected]). Your existing mailbox keeps working; the AI just gets a copy to answer.

The forwarding pattern

In every recipe below, replace the target address with your own agent address. If your Staffify domain is `agent.bakkerjansen.nl` and your agent local-part is `info`, the forward destination is `[email protected]`.

Google Workspace / Gmail

  1. Sign in to Gmail as the mailbox owner (e.g. [email protected]).
  2. Click the gear icon → See all settings → tab "Forwarding and POP/IMAP".
  3. Click "Add a forwarding address" and enter `[email protected]`.
  4. Google sends a verification code to that address. Staffify captures it; you will see it appear in Settings > Email > Domain > Verification codes. Paste it back into Gmail.
  5. Select "Forward a copy of incoming mail to..." and choose your forwarding address. Recommended: pick "keep Gmail's copy in the Inbox" so you have the original mail as reference.
  6. Click Save Changes.

For Workspace admins who want to force this at the org level: use Apps > Google Workspace > Gmail > Routing > Recipient address map instead of a per-user filter.

Microsoft 365 / Outlook

  1. Sign in to Outlook Web (outlook.office.com) as the mailbox owner.
  2. Click the gear icon → View all Outlook settings → Mail → Rules.
  3. Click "Add new rule". Name it "Forward to Staffify agent".
  4. Condition: "Apply to all messages" (or scope tighter if you want).
  5. Action: "Forward to" and enter `[email protected]`.
  6. Optionally check "Stop processing more rules". Click Save.

Microsoft may block external forwarding by default in some tenants. If the rule doesn't fire, ask your admin to allow external forwarding in the Anti-spam outbound policy (Microsoft Defender).

cPanel (Mijn.host, DirectAdmin, Plesk)

  1. Log in to your cPanel or DirectAdmin control panel.
  2. Open Email → Forwarders → Add Forwarder.
  3. Address to forward: `info` (the local-part of the source).
  4. Domain: pick your domain from the dropdown (e.g. yourdomain.com).
  5. Forward to email address: `[email protected]`.
  6. Click Add Forwarder.

On cPanel you can also "forward AND keep a copy", which is recommended so you still see the mail in your own inbox.

iCloud Mail

  1. iCloud does not support per-address forwarding on custom domains beyond a global "Forward my email" setting.
  2. Workaround: use a client-side Rule in Apple Mail on macOS with "Forward Message" action. Requires Mail.app to be running.
  3. For production use, we recommend migrating the inbox to Google Workspace or Microsoft 365, which do support server-side forwarding.

Zoho Mail

  1. Sign in to Zoho Mail as the mailbox owner.
  2. Settings (gear icon) → Mail Accounts → select your account.
  3. Under "Forward emails to", click "Add email address".
  4. Enter `[email protected]` and click Verify. Staffify captures the verification token.
  5. Enable the forward and choose whether to keep a copy in Zoho.

Yandex Mail

  1. Sign in to Yandex Mail as the mailbox owner.
  2. Click the gear icon → All Settings → Email rules.
  3. Create a new rule with condition "For all emails".
  4. Action: "Forward to address" and enter `[email protected]`.
  5. Optionally enable "Save a copy" and click Create rule.
