Step 1: Fund your wallet

Staffify uses a 28-day subscription model. Your package amount (for example, 250 euros on the Basic plan) is credited to your wallet each period and deducted as your AI agents handle calls and conversations.

If you need additional credit beyond your package, you can top up at any time from the Balance page.

Click Balance in the left sidebar
Click the Add Credit button
Choose a preset amount or enter a custom amount
Enter your card details and confirm payment. Your card is charged immediately through Stripe and your credit appears in your wallet instantly

Usage rates

AI call minutes: 0.25 euros per minute (Basic plan)
Call transfers: 0.05 euros per minute
IVR menu time: 0.05 euros per minute
Phone numbers: 5 euros per month each

You can set up auto top-up so your wallet is recharged automatically when it drops below a threshold you set.

Step 2: Create your first AI agent

Click Call Agents in the left sidebar, click Create New Employee, fill in the basic details (name, description, language from 13 supported options, voice from 110+ options with preview), write the System Prompt (the most important part, telling the AI how to behave), adjust personality settings (formality, verbosity, greeting), and click Create. Your agent is now ready to be given knowledge about your business.

Step 3: Upload your knowledge base

The knowledge base makes your AI agent smart about your business. Three methods are available: Option A (Crawl your website) - click Add Website, paste your URL, and Staffify automatically scans and extracts content from your services, FAQ, and pricing pages; Option B (Upload documents) - click Upload Document and select a PDF, DOCX, or TXT file up to 50MB; Option C (Add Quick Answers) - create specific question and answer pairs. You can use all three methods together. After adding knowledge, assign it to your agent from the Knowledge Base page.

Step 4: Buy a phone number

Accepted Answer

Click Phone Numbers in the left sidebar, click Buy Number, search by country and optionally by city or area code, browse available numbers and click Purchase on the one you want (5 euros per month, deducted from your wallet), click Assign next to your new number, select the AI agent you created, and click Confirm. Your number is now live and calls will be answered by your AI immediately. You can also forward your existing business number to this Staffify number.

Step 5: Make your first test call

Accepted Answer

Dial the Staffify phone number you purchased and assigned. Listen to your AI agent answer and try asking questions about your business, requesting an appointment, or asking something from your knowledge base. After hanging up, go to Call Logs in the sidebar, find your test call, and click on it to see the full transcript, call recording, AI summary, sentiment analysis, and duration and cost. If the agent did not answer a question correctly, update your knowledge base.

After getting your first AI agent answering calls, you can: expand your knowledge base so the AI can answer more questions accurately; add a voice widget to your website so visitors can talk to your AI directly from their browser; set up an IVR phone menu to route callers to different agents or departments; connect your CRM, calendar, or other business tools so your AI can take real actions during calls; enable auto top-up so you never run out of credit unexpectedly; and review your analytics to track call volume, sentiment, outcomes, and costs.
